HR and Employment Coordinator

Purpose of the Post

  • To provide support to the HR Manager and undertake related projects as requested
  • To coordinate and manage the recruitment of contracted and student staff within The Students’ Union
  • To coordinate and oversee the operation and development of the JobShop, providing relevant and suitable part time and summer jobs to students at UWE and supporting external agencies in the recruitment process


Principal Duties and Responsibilities

HR and Recruitment

  • To provide employment opportunities across all campuses for contracted staff
  • To provide full administrative support to line managers during the recruitment process. This will include placing adverts, ascertaining costs, ensuring all avenues of candidate attraction are covered, providing documentation to applicants, managing applications, providing short-listing, arranging interviews, writing to unsuccessful candidates and any other related task assigned by the HR Manager.
  • To be responsible for new starter administration including creating contracts, providing documentation, gathering information required by payroll and staff database and conducting right to work checks
  • To coordinate and assist with the effective onboarding induction and training of new staff in alignment with policies and procedures
  • To manage the sickness and holiday process and keep records
  • To support in the development of employee compensation and benefits strategies
  • To assist in the efficient running of the HR database online system including adding new starters, deleting leavers and assisting employees with any questions
  • To support and assist with employee engagement as requested by HR Manager
  • To obtain references for all new starters
  • To provide support and assistance as necessary in employee relations



  • To provide an employment advisory service to student staff on applications, interviews, recent legislation changes and payslip queries
  • To deliver exemplary levels of customer service to all clients
  • To provide support and assist teams with Student Staff recruitment queries when necessary          
  • To develop initiatives that increase the number of clients utilising the service
  • To create and build strong working and professional relationships with external employers
  • To coordinate and plan recruitment campaigns
  • To adhere to recruitment policies and SLA’s
  • To ensure all external employers aware and comply with The Students’ Union at UWE code of conduct for employers
  • To coordinate with invoice administration and have understanding of budget restrictions


General & Administration

  • Maintain accurate records of all staff and liaise with appropriate managers when necessary
  • Adhere to data protection and employment legislation
  • Continually update relevant documentation, HR policies and employment practice to comply with all legal requirements
  • Provide reports and comprehensive statistics and HR metrics as needed by the organisation
  • Coordinate with invoice administration and have understanding of budget restrictions
  • Work collaboratively with internal and external teams and develop strong working relationships
  • Work with the HR Manager to develop relevant policies and procedures for all staff
  • Assist with the payroll administration with regards to student staff
  • To support Payroll administration with day-to-day duties
  • To support when necessary payroll function and compliance




  • To act as line manager to the JobShop Coordinator(s)              





  • Degree or relevant experience
  • Experience in an administrative role
  • Ability to deliver workload against set targets
  • Ability to provide guidance to other staff members
  • Strong interpersonal skills
  • Excellent communication skills, both written and verbal
  • Intermediate knowledge of word, excel and PowerPoint
  • High levels of discretion and confidentiality
  • High levels of self-motivation, enthusiasm and commitment
  • Able to build and maintain strong working relationships
  • Meticulous attention to detail
  • Strong teamwork ethic
  • Demonstrable ability to challenge effectively and provide solutions


  • CIPD qualification or working towards
  • Experience of working in a HR role
  • Experience of working in the Higher Education sector
  • Experience of working in a Students’ Union
  • Experience of multi-site support
  • Problem solving
  • Hands on approach
  • Ability to analyse data and convert into concise reports
  • Demonstrable working knowledge of HR procedures and related law
  • Advanced knowledge of word, excel and PowerPoint
  • Knowledge of HR integrated systems
  • Ability to work under pressure responding quickly to changing priorities
  • Driving licence & car
  • Ability to influence and negotiate

Additional Information

Rate of Pay: £22,334

Holiday Entitlement: 27 days annual leave + Bank Holidays + Closure days

Hours per Week: 37 hours per week, working 5 days out of 7

Duration: Permanent

Location: Based at Frenchay Campus. The postholder may be required to work at, or from any of The Students’ Union at UWE’s establishments.
