Book a room on Frenchay, Bower Ashton, or Glenside Campus for recurring club or society activity.
For societies affiliated with the Students’ Union at UWE, rooms are available to book on each of our campuses. Rooms can be booked for one-off meetings, or recurring bookings can be made if you require a regular space, for example weekly meetings of your club or society committee.
The room booking process is intended for regular club or society activities such as committee meetings or study sessions. If you are planning a one-off event (including movie nights, games nights, socials etc.) then please follow the process for planning an event, which can be found here.
If you would like to book a room for your club or society, please contact your relevant coordinator at least two weeks before the date of the activity. In your email please include:
The name of your club or society
The date that you would like a room to be booked. Please include alternative dates in case your initial date is unavailable.
The start and end time of your booking.
The expected number of attendees.
A brief description of the activity taking place.
All club or society activities require an approved risk assessment before taking place. When making a room booking, please ensure that your activity is covered by your general risk assessment, which should have been completed prior to the first club or society development meeting. If you are unsure, please contact your relevant coordinator who will advise if a new risk assessment will be required for your booking.
If you have a preferred room or block for the booking, then please include this in your email, however, be aware that we cannot guarantee a specific room will be available.
If you would like to book a room on a regular basis, please indicate the frequency of recurrence (e.g. weekly, monthly), the start date, and the end date.
