Key BUCS fixture administration information.
All fixture information is enclosed in the fixture confirmation email sent to committee members. You can also access weekly fixtures here- ... If you keep an eye on the BUCS Play App, you may detials updated online before we can let you know of any updates. Knockout/cup fixtures are highlighted. You can find the round you are currently in on the tournament bracket on BUCS play. Please note each sport may have different cup weeks.
You must submit your BUCS Play team sheet by Tuesday 12pm before your fixture. It is the captain’s responsibility to ensure that all of their players have 1) signed up to BUCS Play and 2) paid their full membership to their club. If you are a captain and you are unable to submit team sheets or can’t find players in your squad then please let blake.brown@uwe.ac.uk know.
This is BUCS requirement so must be done prior to the start of your game. Remember to take IDs or photocopies of your IDs to your game.
The SU may have booked a coach or minibus for your team to travel to and from your away fixture. Transport booked by the SU is for players only. The coach will depart from the SU and leave from the away venue at the times detailed on the fixture confirmation email/spreadsheet. There may be multiple stops to drop off other teams sharing the same coach, so please be mindful of punctuality to ensure you are not holding up other teams as well.
If you are travelling to your fixture in your own car, you MUST have completed an Online Driver Registration Form. If you do not complete this before you drive to a fixture then you will not be able to claim back mileage for this journey.
If you are needing a hire car for your fixture, please reply to a follow up email from me that asks for details of the car you need. You will also need to complete an Online Driver Registration Form to drive a hire car.
Please double check the addresses and check for parking at the locations as not all universities have spaces for students available. If you struggle to find a parking space near the venue then let me know I can contact the university to see what they suggest but don’t leave this to the Wednesday.
Please note, if the team you’re playing against has red and black/white and you are at home, you will need to wear alternative kit. Most teams will indicate their colours on BUCS so check before your game.
All officials must have completed the determination form before they can claim any expenses for officiating at BUCS matches. They must then invoice for their expenses and it be sent to suopportunities@uwe.ac.uk. If you have an official that is struggling to fill it in, then please let us know.
Every player represents Team UWE – respect the badge, your teammates, officials, opponents, venue staff, and spectators. When travelling away, we encourage you to support other UWE clubs. Please respect their fixture start times and offer help where you can. Always use your allocated warm-up space and leave the field promptly after your match so the next fixture can begin on time.
BUCS fixtures take place on Wednesday afternoons, with travel for away fixtures potentially clashing with scheduled morning teaching. All lectures should be recorded, and UWE Bristol is committed to avoiding timetabling Undergraduate teaching on a Wednesday afternoon where possible. If you have timetabled teaching activity on a Wednesday afternoon, please speak to your Programme Leader as soon as possible to discuss flexibility for this. BUCS fixtures cannot be changed due to lecture times.
Can all team’s committees or captains please let pitch-side cover/physio know prior to the game of any players’ previous medical conditions or history that may affect or help in the aid given to the player.
There is to be no alcohol consumed, vaping, or smoking on the premises of Hillside Gardens. Do not bring any alcohol to the field or you will be denied entry. Dogs are also not allowed on-site.
If a serious injury occurs at an away fixture The Students’ Union recommends that an ambulance is called to attend the casualty, as with at home fixtures. If the individual chooses not to seek immediate medical attention and wishes to return to Bristol before doing so, this is at their own risk.
If the injured person is taken to hospital by ambulance outside of Bristol, and unable to return on the transport provided to the fixture, The Students’ Union can support with reasonable repatriation costs. Please keep hold of the receipts for the expenses incurred as a result and contact suopportunities@uwe.ac.uk at the earliest convenience.
As with all trips, if there is an emergency outside of office hours, please contact UWE Bristol Gatehouse on 0117 32 82552 (24-hour line) who will contact the relevant staff member as appropriate.
If an injury is likely to result in a Personal Accident Claim, the process to follow can be found here. Prior to a claim being made, an accident report form must be completed here.
